Digital Mail Management / IT Specialist (m/f/d)

The city of Wolmirstedt with its districts Elbeu, Farsleben, Glindenberg and Mose is located only a few kilometers north of the state capital Magdeburg between the Magdeburger Börde and Colbitz-Letzlinger Heide and belongs to the district Börde. Today, around 12,300 inhabitants live here in the corner between the Ohre and Elbe rivers. You can reach Wolmirstedt via the nearby A14/A2 freeways and subsequently via the B189 from Magdeburg or Stendal, or by train using the S-Bahn service close to the city.

To strengthen our team in the IT Department, we are looking for you to join us as soon as possible as a new colleague in this permanent, full-time position

Digital Mail Management / IT Specialist (m/f/d)

with an average weekly work schedule of 39 hours. Compensation will be based on pay grade 8-9a of the TVöD-VKA, subject to a pending job evaluation and meeting the required qualifications.

What tasks in particular await you?

Digital Mail Management:

Monitoring and processing incoming digital mail across all channels, particularly email, online portals, and government mailboxes;

Classification and indexing: Assigning documents to classes and linking them to relevant metadata;

Scanning Process (Resiscan) and Rights and Role Assignment for e-Files

Creation, control, and monitoring of post-work flows in the e-file (intelligent distribution of digitized documents);

Creation and maintenance of a classification catalog;

Managing and ensuring the digital outbound mail process in the electronic case file;

Performing system updates, tests, and maintenance of administrative settings in the electronic file;

Quality and performance monitoring of digital mail processes;

IT Support:

First- and second-level support for off-site properties and on-site support

Troubleshooting: Analyzing and resolving technical issues with hardware, software, and networks;

Administration of: Windows clients, Microsoft Active Directory, Microsoft cloud services;

Implementation of security policies (conditional access, compliance policies);

Microsoft Intune (Endpoint Management) Administration, MDM Device Management (iOS, Windows)

Maintenance and support for specialized software such as MP-Feuer, OCLC, and point-of-sale systems, as well as hardware—particularly the schools IT equipment (iPads, digital whiteboards);

Support for cloud-based phone systems

Regular updates, maintenance, and documentation of the transmission systems;

Training: Providing instruction to colleagues or users on IT systems.

What should you bring with you?

As a prerequisite:

Certified IT Specialist for System Integration or IT Systems Technician with several years of professional experience in the IT field; alternatively, a vocational degree with at least 5 years of professional experience in the areas of responsibility listed above

At least a Class B drivers license

In-depth knowledge of administering Microsoft 365 and Microsoft cloud services

Several years of hands-on experience in administering Microsoft 365, particularly Intune and Entra ID;

secure knowledge of standard IT applications and current operating systems (Microsoft server environment, Exchange);

Sound knowledge in the planning, introduction and maintenance of network technologies/network services, hardware and software as well as new client/server applications and the willingness to familiarize yourself with specialist programs;

Experience in supporting specialized applications, such as Remote Desktop and the Citrix user platform, as well as in planning and implementing updates, patches, maintenance, and repairs, etc.,
